1. Who we are
The EIG Platform is operated by European Integration Group ("EIG", "we", "us"), Kadıköy, Istanbul, Türkiye. Contact: info@eig.ist.
2. What personal data we collect
- Identity data: full name, first and last name, date of birth, nationality.
- Contact data: email address, phone number, city.
- Academic/professional data: university, field of study, English level, skills, interests.
- Application data: motivation text, visa/passport status, project applications and their status.
- Documents: uploaded CV files and any other documents you choose to upload.
- Account data: authentication identifiers and, if you sign in with LinkedIn, the profile data LinkedIn shares with us (name, email, profile photo).
- Technical data: basic usage analytics (pages visited, device/browser type) if you accept analytics cookies.
3. Why we process your data
We process your personal data to operate your account, evaluate and process your applications to Erasmus+ mobility projects, communicate with you about your applications, and comply with Erasmus+ programme reporting obligations.
4. Legal basis
Because most applicants have no prior contractual relationship with EIG, we rely on your consent (Art. 6(1)(a) GDPR) as the legal basis for processing your personal data when you create an account and submit an application. You may withdraw consent at any time by contacting us; this will not affect processing already carried out.
5. Retention
We retain application and profile data for as long as your account is active, and for up to 3 years after your last activity or the closure of the relevant project, to satisfy Erasmus+ programme audit and reporting requirements. You can request earlier deletion at any time (see section 8).
6. Who we share data with
Personal data is processed by the following service providers acting as processors on our behalf:
- Supabase — database, authentication, and file storage.
- Vercel — application hosting and (with your consent) analytics.
- Google Workspace — email communication related to your applications.
- LinkedIn — if you choose to sign in with LinkedIn, it acts as an identity provider.
- Any transactional email-sending service used to deliver account and application notifications.
Project partners and NGOs within the Erasmus+ network may receive your application data if you apply to their project, solely for the purpose of evaluating your application.
7. International data transfers
Some of our processors (including Supabase and Vercel) may process data on servers located outside the European Union, including in the United States. Where this occurs, we rely on the processor's Standard Contractual Clauses (SCCs) or equivalent safeguards recognised under GDPR Chapter V.
8. Your rights
Under GDPR you have the right to access, rectify, delete, or export your personal data, and to object to or restrict its processing. To exercise any of these rights, contact us at info@eig.ist. You also have the right to lodge a complaint with your local data protection authority.
9. Minors
Some Erasmus+ mobilities involve participants under 18. Where a participant is a minor, we require confirmation of parental/guardian consent as part of the application process for the relevant project.
10. Cookies
We use strictly necessary cookies to keep you signed in. With your consent, we also use Vercel Analytics cookies to understand aggregate site usage. Analytics stays off unless you accept. You can change your choice at any time using "Cookie settings" in the footer.
